In addition to HR Admins and HR Assistants, cycle creators may assign Cycle Admins. Cycle Admins are a special permission level, enabled on a per-cycle basis.
There are two outcomes when using Cycle Admins:
- The setting allows designated users, including non-Admins, to act as HR Admins for that specific cycle (sending notifications, editing cycle settings, etc)
- If an HR Admin is not designated as a Cycle Admin, their HR Admin status is disregarded for that cycle. That means the HR Admin won’t see other cycle participants, can’t edit cycle settings, or see completed reviews.
Note that the cycle creator will always be a Cycle Admin.
You might use Cycle Admins in order to let a department head conduct a review cycle. That person would be able to set the timeline, nudge people to finish their self-assessments, and view all the completed reviews.
Any employee can be a cycle admin, even non-HR Admins. The employee takes on the role of HR Admin for the individual cycle only. Cycle Admin status doesn’t grant HR Admin permissions anywhere else in the tool.
Enabling Cycle Admins
Since the global admin concept works perfectly fine for 90% of our customers, and since the Cycle Admin feature increases the complexity of SI administration a fair bit, the cycle admin feature is not active in your SI account by default.
This feature needs to be activated by request. Reach out to support@small-improvements.com for help.
Assigning Admins
Once the cycle admin feature is enabled, every creator of a review cycle will get the ability to assign cycle admins to “their” cycles, using a simple user picker on the cycle management screen. Once cycle admins have been assigned, other HR Admins or HR Assistants (who all can see the cycle administration screen) are able to see that the cycle is restricted and to whom.
To assign, you’ll need to visit the Company overview > Reviews (or 360s, Objectives) > Manage Cycle Admins:
You’ll see a popup that lets you assign all HR Admins and Assistants, or choose specific people:
On the cycle management page, you’ll see that this cycle now has Cycle Admins assigned:
What do other HR Admins see?
If an HR Admin is not assigned as a Cycle Admin, they are treated as a non-HR Admin for that cycle. HR Admins who are managers will see their employees’ self-assessments once they are shared. Non-managers will only have access to their own self-assessment.
HR Admins will still see the cycle listed on the cycle management page, along with the admins for that cycle. This is to prevent confusion later on: Imagine the person who created the cycle leaves the company, and you need to find out who else is a cycle admin.
Revoking permissions
Cycle Admin status can only be revoked by the person who created the cycle.
- With that in mind, please exercise caution when revoking HR permissions for an admin who is the creator and sole admin for any cycle. As doing so will lock out any Admin user’s access to the administration of the cycle.
- If you’ve done this by accident and need to revert – The solution would be to reinstate the HR permissions for the cycle admin again, then that Admin user can assign other cycle admins or remove oneself as cycle admin, and you can revoke their permissions once more.
How do Cycle Admins find the cycle?
If your cycle admin is not an HR Admin, the will not have an Admin menu. They’ll need to click Company, then select the type of feature. They’ll see the list of cycles they are admins on.
